452 – Special Education Student Exiting With a School Enrollment Record “Maximum Age” Code Needs Valid Special Education Record

ERROR DESCRIPTION

Special Education Student has exited with a School Enrollment record with a 208 “Maximum Age” code. A Special Education record will need to be reported for this student with a Reason Exited of SPED5 “Reached Maximum Age”. Possible corrective action: 1) Report a Special Education record with a valid exit code; 2) Report a valid School Enrollment record for the situation.

DETAILS

The enrollment record for the student states the reason for exit is “Maximum Age”, however the student Special Education record does not have a matching Exit Withdrawal Type. If the student is exiting from Special Education services, there are very specific student enrollment Exit Withdrawal Type codes to coordinate with the Special Education Reason Exited codes.

Note: The student enrollment Exit Withdrawal Type and Special Education Reason Exited codes chart can be found in the ADVISER Element guide for the appropriate school year in the ADVISER Resource website.

FIX

If the student is a Special Education student withdrawn from the district and has reached the maximum age, a Special Education record needs to be created with a “SPED05” (Reached Maximum Age) for the “Reason Exited” in the SIS or SRS and then sent into ADVISER.

If the student is withdrawn from the district, but not a Special Education student, the enrollment record in the SIS needs to changed to the appropriate “Exit Withdraw Type” and then sent into ADVISER.

If the student is attending school, the “Exit Withdraw Type” in the enrollment record in the SIS needs to removed and then sent into ADVISER
