495 – “Not Enrolled, Eligible to Return” Not Found in Subsequent School Year

ERROR DESCRIPTION

Student in 7th through 12th grade was reported with a final Enrollment record Exit Type code of 205 “Not Enrolled, Eligible to Return” in the previous year and was not found in the subsequent School Year on or before October 1st. The student’s status needs to be reviewed and changed to a 202 “Dropout” or one of the “Transfer Out” enrollment exit codes, using a date after the 205 Enrollment record. If the student should be enrolled for the current school year, please publish their record from your SIS.

DETAILS

The FINAL enrollment “Exit Withdrawal Type” cannot be “205” (Not Enrolled, Eligible to Return) for students in grades 7-12. The code must be updated to a transfer type that accurately reflects the student’s situation.

FIX

If the ADVISER Follow-Up Collection is open (with the calendar available on the ADVISER Resource website), the district must update the student’s previous year’s enrollment record “Exit Withdrawal Type” code in the SIS based on the student’s situation and submit it to ADVISER.

If the student is in grades 7-11 and the ADVISER Follow-Up Collection is closed, the district must create an enrollment record for the current school year with the appropriate “Exit Withdrawal Type” code based on the student’s situation in the SIS and submit it to ADVISER.

If the student is a 12th grader and the ADVISER Follow-Up Collection is closed, the district must complete a “Graduation Cohort Resolution Request (Optional)” in the Consolidated Data Collection (CDC) section of the NDE Portal. Through this request, the district can ask for the previous year’s enrollment record to be updated, changing the “205” (Not Enrolled, Eligible to Return) to an appropriate code based on the student’s situation. Once the NDE Service Desk receives the request, the district will be notified when the review process begins and will receive updates on its progress. The review process may take several weeks to complete.
