A student with a Special Education Program record in the previous year (not exited from Special Education in the previous year), does not have a Special Education Program record reported in the current year. Either report a Special Education Program record for the current year OR exit the student from Special Education with a Special Education Program Exit Date.
A student reported as enrolled in the prior school year, receiving Special Education services, was not exited from SPED the previous year or this. So, is the student sill receiving SPED services?
If the student is still receiving Special Education services this school year, send a SPED record into ADVISER for the current school year. The updates will likely be made from SRS or could come from your SIS, depending on which system your district uses to report SPED data to the state.
If the student should have been exited from SPED in the prior school year and wasn’t, there are two possible fixes, depending on the time of year:
If a collection window is open (Follow Up) districts can make changes to prior school year data. Using SRS/SIS, send the appropriate SPED exit code into ADVISER for the prior school year. This is the preferred method to fix the error.
However, once the Follow Up window is closed, updates to the prior school year are no longer feasible. In this case, both a SPED and enrollment record will need to be sent in the current school year before school started. For example, some districts use a July 1 enrollment date so they can exit the enrollment and SPED record on July 2. This removes the student from membership, while avoiding the membership count day (Oct 1) and exits the student from both SPED and enrollment for the current school year.
