DESCRIPTION
The Enrollment Lookup by ID feature is part of ADVISER Validation. It allows users to view a student’s current and historical enrollment information using the student’s NDE ID.
This tool provides a fast, reliable way to confirm where a student is enrolled, identify overlapping enrollments, and validate state reporting data.
DIRECTIONS
- In ADVISER Validation, select Enrollment Lookup by ID in the LOOKUPS section.
- Place the Student’s NDE ID into the field and click “Submit”
- Review the student’s reported data, which may include
- School Year
- Student ID
- Local ID
- Student Name
- District
- School
- Entry Date
- Entry Type
- Withdraw Date
- Withdraw Type
- Grade Level
- Residence Status
- District of Residence
- School of Residence
- Full Time Equivalency
Current school year will reflect only data that has been successfully processed and validated in ADVISER. Changes in the SIS will not appear until the next data submission and validation cycle.
PURPOSE
The Enrollment Lookup by ID screen provides a consolidated view of all enrollment data reported and processed in ADVISER Validation for a single student for the current and historical years.
This screen is primarily used for:
- Verifying enrollment during transfers
- Verifying that SIS submissions have been received and processed
- Troubleshooting enrollment validation errors tied to a specific student
WHEN TO USE THIS SCREEN
Use Enrollment Lookup by ID when:
- You are resolving a validation error for a specific student.
- You need to confirm whether updated SIS data has been processed.
- You want to review the historical enrollment for a student.
- You need to compare student enrollment data between school years.
- You are responding to a question from administration or another department regarding an individual student’s reported data.
USE CASE EXAMPLES
1. Troubleshooting a Validation Error
A validation message references a student’s enrollment or program record.
Use Enrollment Lookup by ID to review enrollment reported records for that student and confirm whether required elements are present or misaligned.
2. Confirming Recent SIS Changes
A correction was made in the SIS (e.g., enrollment exit date updated).
3. Checking Enrollment for Programs & Services
Such as Special Education, nutrition programs, or student services requiring enrollment confirmation.
IMPORTANT
This screen reflects data that has been successfully processed in ADVISER. If expected data does not appear, confirm that the SIS submission has been completed and processed without errors.
