This FAQ addresses the most common questions about requesting access to applications in the New NDE Portal, how Roles work, why applications may not appear, and how the approval process functions.
Getting Access to Applications
1. How do I request access to an application in the New NDE Portal?
Go to:
➡ Profile > Requests > New Request
Fill out the required fields and click Submit.
2. What information do I need to complete an access request?
The New Request form includes:
- EdOrg (Required)
- Application (Optional) — helps narrow down roles
- Role (Required) — determines actual access
- Reason (Optional)
3. Who approves my request?
Your request is routed to:
- Your District Administrator, or
- A Proxy Admin, if one is assigned
4. How will I know if my request was approved?
Check under:
➡ Profile > Requests > All Requests
You will see if your request is Approved, Denied, or Closed.
You should also receive an email of the status of your request when the administrator has completed the review process. You might have to check your SPAM for this email.
Understanding Roles
1. What is a Role?
A Role defines what applications you can access. Roles:
- May include one application
- May include multiple applications
- Are maintained by NDE
2. Why are Roles required when requesting access?
Roles are the method the New NDE Portal uses to assign permissions.
Users do not request access to individual applications — they request a Role that grants the appropriate set of permissions.
3. Why did I suddenly gain access to a new application?
Some Roles automatically receive new applications as NDE migrates them.
Example:
When ADVISER Validation moves into the New NDE Portal, it will automatically be added to the Data Steward role
Why Applications Don’t Appear
1. Why don’t I see the application I need on my home page?
Possible reasons:
- You haven’t been assigned a Role yet
- Your request is still pending approval
- The application has not been migrated from the Legacy NDE Portal
2. I was approved, but I still don’t see my application—why?
Look under:
➡ Profile > Applications
to confirm access to the application.
The application may not be open to the District/EdOrg at the time.
3. Why doesn’t the Application dropdown show the application I need when requesting access?
The Application field is optional and only helps filter Roles.
If the application doesn’t appear:
- Select your EdOrg first
- Try leaving the Application field blank
This will display the full list of Roles you qualify for.
EdOrg-Related Access Issues
1. Why can’t I request access until my EdOrg is assigned?
The New NDE Portal uses your EdOrg to determine:
- Which applications your district uses
- Which roles you are eligible for
- Which District Admin receives your request
If your EdOrg is missing, you will see an error and cannot complete a request.
2. Why is my EdOrg blank?
This typically happens with:
- Nonpublic users
- Non‑SSO logins (Google/Microsoft/email)
Request your EdOrg under Profile > Requests.
District Administrator & Proxy
1. Can my District Administrator change the Role I requested?
Yes.
District Admins can edit a request before approving it.
2. What if my request is denied?
It will appear in Profile > Requests > Closed.
You may submit a new request with updated information.
3. How many Proxy Admins can a district have?
Only one Proxy Admin per EdOrg can be assigned at a time.
Special Scenarios
1. I moved to a new district — do I need to request access again?
Yes. Applications and Roles are tied to your district/system, not your user account.
You will have to create a new account with your new district/system email address.
2. Why was I automatically assigned an EdOrg, but someone else wasn’t?
SSO can automatically assign EdOrg for:
- Public schools
- ESUs
- A few nonpublic school systems
It cannot auto‑assign for:
- Google/Microsoft login users
- Local email/password users
These users must request their EdOrg manually.
