Student Lookup by ID

DESCRIPTION

The Student Lookup by ID feature is part of ADVISER Validation. It allows users to view all data reported for a specific student for the current school year at the selected district.

This screen displays the student data that has been received from the district’s Student Information System (SIS). The lookup includes two different Data Snapshots, which allow users to view the student’s information at different points in time based on when the data was processed in ADVISER.

When using the Student Lookup by ID screen, select the appropriate Data Snapshot to ensure you are viewing the correct version of the student’s records.

DIRECTIONS

  1. In ADVISER Validation, confirm the correct school and school year are selected.
  2. In the main menu, select Student Lookup by ID in the LOOKUPS section.
  3. Select the desired Data Snapshot.
  4. Place the Student’s NDE ID into the field below the Data Snapshot selection and click “Submit”
  5. Review the student’s reported data, which may include
    • Demographic
    • School Enrollment
    • Special Education
    • Title
    • Early Education
    • Course Transcripts
    • Career Education
    • Attendance
    • Discipline
    • Restraint
    • Grades
    • Course Sections
    • Program Associations

Data Snapshots reflect only data that has been successfully processed and validated in ADVISER. Changes in the SIS will not appear until the next data submission and validation cycle.

PURPOSE

The Student Lookup by ID screen provides a consolidated view of all data reported and processed in ADVISER Validation for a single student within the selected school year and district.

This screen is primarily used for:

  • Reviewing the full set of data submitted for an individual student
  • Verifying that SIS submissions have been received and processed
  • Comparing data across available Data Snapshots
  • Troubleshooting validation errors tied to a specific student

Unlike summary reports or filtered lookups, this tool provides a student-level view across all available Data Groups in one location.

WHEN TO USE THIS SCREEN

Use Student Lookup by ID when:

  • You are resolving a validation error for a specific student.
  • You need to confirm whether updated SIS data has been processed.
  • You want to review all reported information for a student in one consolidated view.
  • You need to compare student data between Data Snapshots.
  • You are responding to a question from administration or another department regarding an individual student’s reported data.

USE CASE EXAMPLES

1. Troubleshooting a Validation Error

A validation message references a student’s enrollment or program record.
Use Student Lookup by ID to review all reported records for that student and confirm whether required elements are present or misaligned.

2. Confirming Recent SIS Changes

A correction was made in the SIS (e.g., enrollment exit date updated).
Use the most recent Data Snapshot to confirm that the change has been processed in ADVISER.

3. Reviewing Special Program Participation

A staff member needs confirmation of a student’s reported Special Education, Title, or Early Education participation.
Use the lookup to verify the program record and associated dates.

4. Comparing Data Snapshots

A discrepancy is identified between previous reporting and current data.
Toggle between Data Snapshots to determine when a change occurred or whether a record was altered between processing cycles.

IMPORTANT

This screen reflects data that has been successfully processed in ADVISER. If expected data does not appear, confirm that the SIS submission has been completed and processed without errors.
