326 – Matching School Enrollment Record Needed for Student Exiting SPED With Reason Exited “Deceased”

ERROR DESCRIPTION

The special education program record for the student has a Reason Exited of “Deceased”, but no supporting Exit Withdraw Type has been reported in their student enrollment record. Please correct the student’s special education program record or student enrollment record. Refer to the ADVISER Data Elements – Special Education Program Reason Exited for more information.

DETAILS

The Special Education record for the student states the reason for exit is “Deceased”, however the student enrollment record does not have a matching Exit Withdrawal Type. If the student is exiting from Special Education services, there are very specific student enrollment Exit Withdrawal Type codes to coordinate with the Special Education Reason Exited codes.  

Note: The student enrollment Exit Withdrawal Type and Special Education Reason Exited codes chart can be found in the ADVISER Data Elements guide for the appropriate school year in the ADVISER Resource website

FIX

If the student is deceased, then the Exit Withdrawal Type on the student enrollment record needs to be changed to “206” (Deceased) in the SIS and then sent into ADVISER.

If the student is not deceased and exiting from Special Education, the Special Education record in the SIS or SRS needs to change to the appropriate Reason Exited and then sent into ADVISER.  

If the student is not deceased and receiving Special Education services, the Reason Exited in the Special Education record in the SIS or SRS needs to be removed and then sent into ADVISER.
