572 – Graduation Year in student record Changed from Graduation Cohort Year

ERROR DESCRIPTION

The Expected Graduation Year in a student record is different from the Graduation Cohort Year per NDE’s records. To fix the Expected Graduation Year, the student’s record needs to be updated in the SIS. Graduation Cohort Year is assigned to a student based on when the student was a first time 9th grader, changing the Expected Graduation year WILL NOT change the Graduation Cohort Year.

DETAILS

The Expected Graduation Year is reported by districts through the SIS and may change if a student’s graduation timeline changes. The Graduation Cohort Year, however, is established when the student is first enrolled as a 9th grader and remains fixed for accountability purposes. Because of this, modifying the Expected Graduation Year will not update or replace the Graduation Cohort Year.

FIX

If the Expected Graduation Year is incorrect, update it in the SIS and resubmit the record to ADVISER.

If the Expected Graduation Year is accurate but the Graduation Cohort Year is incorrect, the district must complete a “Graduation Cohort Resolution Request (Optional)” in the Consolidated Data Collection (CDC) section of the NDE Portal. Through this request, the district can ask for the Graduation Cohort Year to be updated. Once the NDE Service Desk receives the request, the district will be notified when the review process begins and will receive updates on its progress. The review process may take several weeks to complete.

If the Graduation Cohort Year is correct, but the graduation timeline has changed for the student. The warning may remain because the Expected Graduation Year and Graduation Cohort Year represent different data elements. The district may enter a comment on the warning and archive it.
