438 – Intra-District Transfer Without a Following Entry Enrollment Record

ERROR DESCRIPTION

A student with an intra-district transfer does not have a subsequent school enrollment entry record. To fix, 1) a School Enrollment record needs to be added with an entry enrollment code in the appropriate school within the district or 2) the student’s existing School Enrollment record needs to be updated with the appropriate transfer out exit code. This validation is in the Cohort Analysis Tool. Please note any updates for these students may not be seen until the next day.

DETAILS

The student’s most recent enrollment record includes an Exit Withdraw Type of “200” (Intra-District Transfer or Enrollment Change), which indicates a transfer between buildings within the same district or a change in enrollment. A new enrollment record must be created to reflect the student’s updated school placement within the district.

Note: The definitions of the Exit Withdraw Type can be found in the ADVISER Data Elements for the appropriate school year on the ADVISER Resource website..

FIX

If the student has transferred to another school within the district or has an enrollment change, create a new enrollment record in the SIS and submit the updated information to ADVISER.

If the student has transferred out of the district, update the Exit Withdraw Type to the appropriate code in the SIS and submit the updated information to ADVISER.

If the student has no changes in the enrollment record, remove the “200” (Intra-District Transfer or Enrollment Change) in the SIS and submit the update information to ADVISER.
