726 – Multiple Special Education Records Reported for a Student

ERROR DESCRIPTION

A student has more than one active Special Education record reported within your district. Please report only a single Active SPED program record for the student, begin date as the effective date for the SPED record in the current school year. If a new record is needed due to changes in the student’s circumstances (such as placement type) a new record with the most recent begin date can be submitted but the previous record needs an end date.

DETAILS

The student can only have one ACTIVE Special Education Program record in ADVISER at a time. If the student’s services change, the current Special Education record must include an “Exit Reason” and “End Date.” A new Special Education Program record should then be created to report the updated Special Education services.

Note: Definitions for Reason Exited and End Date (Special Education Exit Date) for Special Education program can be found in the ADVISER Data Elements guide for the appropriate school year in the ADVISER Resource website

FIX

If the student’s Special Education services have changed, enter the Reason Exited and End Date in the Special Education record within the SIS or SRS. Make sure the End Date is before the Begin Date of the next Special Education record, then submit the updated information to ADVISER.

If the student’s Special Education services have not changed, ensure there is a single Special Education Program record in the SIS or SRS, then submit the updated information to ADVISER.
