812 – Exited Student Found With Subsequent Enrollment In Current Year

ERROR DESCRIPTION

A student that was reported by your district as having an Exit Withdraw code of 202 “Dropout”, 205 “Not Enrolled Eligible to Return”, or 209 “Withdrawal From Mandatory Attendance” was found to have an enrollment record (in either your district or another) with an entry date later than the 202/205/209 exit date. Please verify if the student’s exit date or code should be updated to reflect this, although it may be accurate to report that the student left school and has rejoined.

DETAILS

The ADVISER Validation system has detected an enrollment record at the same or another school district after the Exit Withdraw Date of a record with an Exit Withdraw Type of “202” (Dropout), “205” (Not Enrolled Eligible to Return), or “209” (Withdrawal from Mandatory Attendance). Since the student has a new enrollment record, these codes should be reviewed for accuracy. This error is a warning, and the reported information may be correct based on the student’s situation.

Note: The definitions of “Exit Withdraw Type” can be found in the ADVISER Data Elements for the appropriate school year on the ADVISER Resource website.

FIX

The student’s complete enrollment history can be viewed in the ADVISER Validation in the Enrollment Lookup by ID.

If the student’s Exit Withdraw Type is correct for the student’s current situation, the warning can be archived in ADVISER.

If the student’s Exit Withdraw Type is incorrect for the student’s current situation, please see the following:

  • The enrollment record is in the current school year, update the Exit Withdraw Type in the student’s enrollment record in the SIS and submit the updated information to ADVISER.
  • The enrollment record is in the previous school year and the ADVISER Follow-Up Collection is open, update the Exit Withdraw Type in the previous school year’s enrollment record in the SIS and submit the updated information to ADVISER.
  • The enrollment record is in the previous school year and the ADVISER Follow-Up Collection is closed, the district must complete a “Graduation Cohort Resolution Request (Optional)” in the Consolidated Data Collection (CDC) section of the NDE Portal. Through this request, the district can ask for the previous year’s enrollment record to be updated, changing the current Exit Withdraw Type to an appropriate code based on the student’s situation. Once the NDE Service Desk receives the request, the district will be notified when the review process begins and will receive updates on its progress. The review process may take several weeks to complete.
