ERROR DESCRIPTION
A student who will still be age 21 as the end of the school year (6/30) has an enrollment record reported with an Exit Withdraw Code of 208 “Maximum Age”. Students who are 21 years old are still considered to be school age. Please correct the enrollment record for the student, or verify the student’s birth date is correct in the ADVISER Person ID system.
DETAILS
Students who turn 21 during the school year remain eligible for educational services until the end of the school year (June 30th). If a student stops receiving services before the school year ends, the “Exit Withdraw Type” cannot be reported as “208” (Maximum Age).
The Exit Withdraw Type of “208” (Maximum Age) is for students who have met the age for which the state guarantees a free, appropriate public education and subsequently exited school.
Note: The definitions of “Exit Withdraw Type” can be found in the ADVISER Data Elements for the appropriate school year on the ADVISER Resource website.
FIX
If the student is 21 years old and stopped receiving educational services before the end of the school year, update the “Exit Withdraw Type” in the enrollment record to a more appropriate transfer out code in the SIS and submit the updated information to ADVISER.
If the student is younger than 21 years old, verify the date of birth in ADVISER Person ID.
If the student’s date of birth is incorrect, complete the following in ADVISER Person ID:
- In the student’s information screen, click on the blue “Edit Student” link
- Update the date of birth for the student
- Click the “Update Student” button
The update in ADVISER Person ID will be synced with ADVISER Validation in an overnight process. Verify the update in ADVISER the following day.
If the student’s date of birth is correct, update the “Exit Withdraw Type” in the enrollment record to an appropriate transfer out code in the SIS and submit the updated information to ADVISER.
